SELETIA CONSULTING S.L. (hereinafter ‘SELETIA’) is a limited liability company with CIF B83882837 registered in Registro Mercantil de Madrid, Page M-346038, Folio I, Volume 19.674, Section 8, Registration 1. Our headquarter is located in Madrid, calle Maudes 51, 6ª planta, 28003 Madrid (Spain).

We are an Executive and Professionals Search and Selection firm. SELETIA also provides Consulting, Assessment, Talent Management, Research, Employee Experience, Internal Communication and Employer Branding services and solutions.

At SELETIA we are absolutely committed to protecting your privacy. If you provide us with personal information with identification data, these will only be used for the purposes for which you have entrusted them to us. Both, our employees and any third party that has access or intervenes in the processing of personal data, will ensure the confidentiality of the information.

For the purposes of data protection legislation, SELETIA CONSULTING S.L. is responsible for data processing.

Nature of the data we manage

For the development of our activity and the fulfilment of our commitments, we collect personal data of different nature from people with whom we have relationships, such as:

  • Current and future clients (prospects)
  • Participants in Consulting projects, Research and Employee Experience work and tools, Assessment Development Centre processes, etc., which are generally employees or collaborators of our clients
  • Suppliers that help us provide our services

  • Consultants and external collaborators

Candidates. Registration and use of information

When you enter as a Candidate applying to a Job Offer through our website either directly or through other job sites, social networks, or any other channels, we collect a series of personal data that we obtain from your CV, from our own application form and from other sources (such as LinkedIn, Infojobs, …). This allows us to assess the adequacy of your profile to the vacant position and thus help you find a job that meets your abilities and expectations.

The information we record includes, among others:

  • Your name.
  • Your contact information, including phone and email address.
  • Your training.
  • Your professional career.
  • References that verify your qualifications and experience.
  • Links to your professional profiles in any public domain, such as LinkedIn.

We record and use this information to:

  • Help you find a suitable job.
  • Inform you of job opportunities and update you on the requests you have made.
  • Provide your data to potential employers, whenever it may be of interest to you.
  • Offer you information, help and advice in your job search and career development
  • Provide you with information about the job market.
  • Ask for your opinion about our services.
  • Provide our clients with information about you based on our tools and methodologies.
  • Fulfill our obligations towards our clients.

We may also collect information about you in our market research processes to meet the recruitment needs of our clients. We will obtain this information from sources such as LinkedIn, job sites, online and physical professional directories, professional associations employment services, universities, training centers and business schools, business cards as well as personal references provided by other professionals. In the event that we collect data about you, we will inform you that we have personal data about you by sending you this privacy notice within 30 days of the data being collected.

We may also share Candidates’ personal data with:

  • Clients, in order to present professionals to cover their vacancies.
  • Trusted third parties that collaborate with Seletia, such as reference verification services, academic and criminal records, psychometric evaluations and training tests. These collaborators are obliged to strictly comply with our requirements regarding data security and confidentiality.
  • Trusted third parties who provide us with research and email services. These third parties have the obligation to fulfill our demanding requirements regarding security and confidentiality.
  • Clients, partners, suppliers and subcontractors, in order to fulfill the obligations subscribed under any contract that we sign with the aforementioned, or with you.
  • Credit reference agencies, our insurance intermediaries, regulatory compliance partners and other subcontractors, to assess your suitability for a certain position.
  • Regulatory or police authorities whenever required by law.

Under no circumstances will we share your personal information with third parties who wish to use it for marketing purposes.

In the conduct of our activity we use technology and information systems that allow us to automate certain processes of identification, filtering and selection of professional profiles, as well as their treatment, data collection and management of the entire selection process. This guarantees that all professionals who have shared their personal data and authorized their use by Seletia, are taken into consideration and participate under the same premises in our selection and evaluation processes and projects. 

Clients. Registration and use of information

As a Client, current or future, when you contact Seletia, we record certain information about you and your company, among others:

  • Your name.
  • Your position or responsibility in your organization.
  • Your professional contact information, including phone and email address.
  • The organization in which you work (company, institution, administration, …), and the corresponding area and department, if applicable.

The reason for recording and keeping this information is:

  • Respond to requests for information and commercial proposals that you request from us.
  • Provide the services you order.
  • Maintain ordinary communication with you.
  • Send you reports and documentation related to work in progress, past or future.
  • Inform you about our services and solutions.
  • Provide research studies and reports on the labour market.
  • Gather your opinion on our professional services.

In the course of our activity, we may share your data with:

  • Candidates, in their contact with you at some stage of the selection process, for reasons such as interviews, assessment centers, presentation of hiring offers, etc.
  • Trusted third parties who provide us with research and email services. These third parties have the obligation to fulfill our demanding requirements regarding security and confidentiality.
  • Regulatory or police authorities whenever required by law.

Legal basis for data processing

The processing of personal data is legally based on our legitimate commercial interest and our activity, whether you are an organization / company or a candidate.

It can also be based on our contractual or legal obligations, and on your consent for certain uses of the data.
If an agreement has been reached or a project or the provision of any service or solution for your organization is being negotiated, the legal basis will be the corresponding contract.

Likewise, if by law we are obliged to maintain information about you, our legal basis will be said legal obligation.

In addition, in certain circumstances we may invoke your consent for specific uses of your data, and in such cases we will ask for your explicit consent whenever required by law. Your consent may be our legal basis for data processing, for example if you give us permission to introduce you to a client (if you are a candidate). As long as consent is the legal basis for our data processing activity, you will have the right at any time to withdraw your permission for said activity.

We use cookies to collect general information about people who visit our websites in order to better understand how our websites are used and to enrich the user experience.

Occasionally, we may share this information with trusted third parties so that they also understand how our websites are used.

Storage and management of Personal Data

The data we collect from you may be transferred to and / or stored in a location outside the European Economic Area (“EEA”). They may be transferred to third parties outside the EEA to provide our search and selection services. They may also be processed by people who work for us or by one of our suppliers outside the EEA. By providing your personal data, you agree that it be transferred, stored or processed in this way. We will take all necessary measures to ensure that your data is treated securely and in accordance with this Privacy Policy.

All the personal information you provide us is stored on secure servers.

Retention of your personal data

We have a legal duty to retain personal data only for as long as is necessary for our legitimate business interests and we understand that you consent to it. For this reason, we maintain a data retention policy and updating practices aimed at deleting data whose maintenance does not serve the legitimate commercial interest of our activity.

To ensure that our data is accurate, before presenting it to someone, we check with you that the information we have is accurate and proceed, where appropriate, to updating it.

We classify and segment the data, using different periods of time of conservation depending on the type of data and its use, according to criteria such as the nature of the data, its obsolescence, our legal obligations, if you are immersed in a process or have been hired, etc.

Some of your data may be removed from certain systems -for example in our CRM- but kept in other systems – for example in Billing- for operational needs.

We resort to the pseudonymisation of parts of personal data when necessary, and specifically, when requesting the deletion of personal data, thus ensuring that they are not reintroduced into the system.

Rights regarding your personal data

You have the right to:

  • Request the modification of your data, thus allowing you to correct any incomplete or imprecise information that we have.
  • Request the deletion of your personal information. By doing so, we will erase all information except your email address, first and last name, which will allow us to record that you have withdrawn your consent. When required by law, we may need to keep certain information about you.
  • Deny or restrict the processing of your personal information when we do so on the basis of a legitimate interest (your own or of a third party) and you refuse to process your data on that basis.
  • Modify your communication preferences, indicating what type of information you want to receive from us.
  • Require that your data be transferred to a third party in certain formats, whenever feasible.
  • File a complaint with a control authority.
  • Access the information we have about you. In the event that the law allows it, your request may not be granted, explaining the reasons for not doing so.
